This is a step-by-step guide to using EndNote 20.

Sharing Options

DO NOT share libraries via OneDrive. EndNote is not compatible with OneDrive. Saving and sharing via OneDrive can create a host of performance issues. 

Notes on Sharing 

The Sharing feature is enabled by EndNote Sync. EndNote Sync synchronizes the desktop application to EndNote's online site. Using the Sync feature provides immediate and real-time access to libraries and groups. Libraries can be shared with up to 100 EndNote users. Groups can be shared with up to 1000 EndNote users. 

  • The sharing feature requires an EndNote Online account and Sync set-up (in Preferences)
  • The library owner can grant sharees Read Only or Read & Write access and stop sharing anytime
  • Sharing via the sync method is recommended as an alternative to sharing a library/group by saving it to a shared drive.
    • Libraries need a constant stream of data; saving to shared drives can corrupt libraries and/or create performance issues. It also limits library access to one user at a time.

EndNote Sync allows for sharing ONE library; users can identify the library by configuring their Sync preferences.

How-to
  1. Library menu > Sync

  2. File menu > Share…

  3. Invite field: Enter email addresses

  4. Permission field: Select permission level

Share a Group

EndNote Sync allows for sharing Groups. A Group is a subset of references created by the user. Group Sets and Smart Groups cannot be shared

How-to
  1. Library menu > Sync

  2. Right-click on the Group to be shared > Share Group…

  3. Invite field: Enter email addresses

  4. Permission field: Select permission level

  5. Invite button > Close button

Share a Library via Email

Users can save a complete library to a compressed file and send it to another EndNote user (using X or later versions). EndNote libraries larger than 4 gigabytes or 65,535 files cannot be compressed using the instructions outlined here.

How-to
  1. File menu > Compressed Library (.enlx)…

  2. Select Create & Email

  3. Share with or without file attachments

  4. Select all references, selected references, or a Group of references

  5. Next button

  6. Rename the file and select a location for saving (adding a date to the file name is recommended)

  7. EndNote will generate an Outlook message > Enter the recipient's email address > Send button

Share a File of References

EndNote users can create and share a file of references with other EndNote users. 

How-to (Sender)
  1. Select the references to be shared (use the ctrl button to select multiple references)

  2. File menu > Export…

  3. File name: Name the file

  4. Output style: RefMan (RIS) Export

  5. Mark the "Export Selected References" box

  6. Save button 

  7. Create a new email message and attach the file to it

How-to (Receiver)
  1. Save the shared file to your computer
  1. Open your EndNote program
  1. File menu > Import > File...
  1. Import File: Choose the file
  1. Import option: EndNote Import
  1. Duplicates: Discard Duplicates
  1. Text Translation: No Translation
  1. Import button

Share a Library With a Non-EndNote User

EndNote can generate a .RIS file of references for import into other citation managers, like Zotero and Mendeley.

How-to
  1. File menu > Export...

  2. Select a location for saving and name the file

  3. Save as type field: Text File (*.txt)

  4. Output style field: RefMan (RIS) Export 

  5. Check the Export Selected References if sharing particular references

  6. Save button 

  7. Share the file via email
