This is a step-by-step guide to using EndNote 20.

Organize References

Notes on Groups

Groups are subsets of references in a library; some are automatically generated and permanent, and others are created by the user and temporary. These options let users organize a library according to their needs.

  • Groups are arranged in the Groups panel alphabetically; the user can re-arrange the order of groups by dragging

  • References can be added to groups by dragging and dropping 

  • Deleting references from a group does not remove them from the library - they are moved to the "Unfiled" and "All References" groups

  • Group Sets and Smart Groups do not sync to the Endnote Online account 

Create a Group Set

A Group Set is a superset of references. Group Sets are the top-most group in EndNote's hierarchical arrangement of groups. 

How-to
  1. Groups menu > Create Group Set

  2. Group Set appears in Groups panel > Name Group Set

  3. Drag references into the Group Set 

Points & Help
  • Users can create up to 5,000 Group Sets

  • Group Sets can contain a combination of Groups and Smart Groups

  • Group Sets do not sync to the EndNote Online account

Create a Group

A Group, also referred to as a Custom Group, is a subset of references. Groups nest under Group Sets in EndNote's hierarchical arrangement of groups.

How-to
  1. Highlight the Group Set where the Group will nest > Right-clickCreate Group

  2. The Group will appear under the Group Set > Name Group

Points & Help
  • Users can create up to 5,000 Groups (combined with Smart Groups)

  • Groups sync to the EndNote Online account

Create a Smart Group

A Smart Group is a subset of references collated by search criteria defined by the user. Smart Groups can be positioned as a Group Set or Custom Group in EndNote's hierarchical arrangement of groups.  

How-to
  1. Display all references by highlighting the All References group

  2. Groups menu > Create Smart Group

  3. Name the Smart Group and define its search criteria > Create button 

  4. The Smart Group will appear under the first Group Set in the Groups panel

Points & Help
  • Users can create up to 5,000 Smart Groups (combined with Groups)

  • When new references are added to the library, they are automatically organized into a Smart Group, if they match its search criteria

  • When you delete a reference from a Smart Group, it is deleted from the All References group

Edit & Update References

Edit a Reference

EndNote users can edit the Reference Type (i.e., book, journal article, etc.) and bibliographic data of a particular reference. 

How-to
  1. Highlight the reference in the library

  2. Reference Panel > Edit

  3. Use the drop-down menu to change the reference type and edit, input, or delete information from fields

  4. Save button 

Points & Help
  • If the author field is populated with an entity, place a comma at the end of the entity name. This tells EndNote that the name is not personal and helps it format the entity name correctly in the bibliography of a paper.

  • EndNote Support: Updating existing library references

Find Reference Updates

EndNote users can retrieve any available field updates for journal articles using the Find Reference Updates feature. Update information is sourced from Web of Science, PubMed, and other external databases. 

How-to
  1. Highlight the reference(s) 

  2. References menu > Find Reference Updates

  3. A Review window opens and displays available updates in the left column

    • Choose to update all fields, empty fields, or edit the reference manually 

  4. A confirmation message will pop-up > OK button 

Attach Files to References 

EndNote users can attach files stored on their computers to references in their library. They can also use EndNote to search external sources and attach available full-text PDF files of articles to references in their library. 

How-to 

Stored Files

  1. Highlight the reference

  2. Reference panel > Attach file button

  3. Locate the file > Open button 

  4. The file will appear in the Summary and PDF sub-panels of the Reference panel

Find Full Text

  1. Highlight the reference 

  2. Right-click > Select Find Full Text 

  3. EndNote will attempt to locate and attach the full-text file to the reference

  4. Its progress is displayed in the Groups panel under the FIND FULL TEXT group

Format References

Notes on Output Styles

EndNote output styles format citations in a paper and references in a bibliography. Output styles are defined by journals and publishers. 

  • EndNote is pre-loaded with hundreds of output styles
  • More styles are available for download online (see the Online Styles tab)
  • Users can modify output styles to meet specific professional or journal requirements

Choose a Style

EndNote displays the output style in the Summary sub-panel of the Reference panel. Users can change styles using the drop-down menu in the Summary sub-panel or Tools menu.

How-to

Summary Sub-Panel

  1. Summary sub-panel > Style drop-down menu > Select Another Style...
  2. Find a style by name in the alphabetical list or use the Quick Search box to search for a style
  3. Highlight the style > Choose button 

Tools Menu

  1. Tools menu > Output Styles > Open Style Manager...
  2. Find the style in the alphabetical list > Mark its box > Close the Style Manager window
  3. The style will be listed in the Style drop-down menu 

Get Output Styles Online

EndNote offers more than 6,000 output styles. Use the Online Style Finder when you cannot find a style in the desktop application; users can search by style name or publisher. 

How-to
  1. Go to: endnote.com/downloads/styles/ 
  2. Perform a search for a style
  3. Download button > Open the file In EndNote
  4. File > Save As > Rename the style (optional)
  5. File > Close Style

Modify an Output Style

Output styles can be modified to meet user needs or publisher requirements. Simple changes can be made following the instructions outlined here. Please refer to the manual linked below for detailed information and instructions for modifying output styles. 

How-to

Make sure the style you want to edit appears in the style drop-down menu. If it does not, choose "Select Another Style..." to mark it and add it to the drop-down menu.

  1. Tools menu > Output Styles > Select style to edit
  2. Modify the style (see table below)
  3. File > Close Style

Style Template

Citations

The items listed under the Citations heading apply only to citations in the body of the text.

Bibliography

The items listed under the Bibliography heading apply to the bibliography that EndNote creates when you format a paper. 

Footnotes

The items under the Footnotes heading apply to citations that have been inserted into the footnotes or endnotes in a word-processing document. (You must first create the footnotes or endnotes in your word processor, and then insert EndNote citations into them.)

Figures & Tables

The items under Figures and Tables apply to EndNote figures and tables that have been inserted into a Microsoft Word document.

Points & Help 
  • The EndNote User Guide provides detailed instructions for modifying style templates. Go to the Help menu and select "EndNote 20 Help". The User Guide will open in a separate window. Select the Contents tab and open the "Output Styles" section (click the + icon). Next, select "Modifying Style Templates".
